Privacy Policy

1. Who We Are

The Colorado Home Protection CRM is an internal platform operated by Colorado Home Protection, LLC ("Company," "we," "us," or "our"), based in Colorado. This Privacy Policy describes how we collect, use, and protect information in connection with the CRM.

2. Information We Collect

2a. Agent Account Information

We collect your name, email address, and role when your account is created by an administrator. Passwords are stored in hashed form.

2b. Lead and Client Data

The CRM stores lead information you enter, including names, contact details, health information (used for carrier matching), mortgage data, and interaction history. This data is associated with your agent account.

Privacy Best Practice

Use initials or a partial identifier (e.g., "J.S.") rather than full legal names when entering health-related information. You are responsible for ensuring that any client data you enter has been collected with appropriate authorization.

2c. Usage Data

We collect data about how you use the platform — pages visited, features used, session activity — for operational, security, and performance monitoring purposes.

2d. AI Query Data

When you use CarrierIQ or Live Call features, client information you enter is sent to our AI provider (Anthropic) for processing. This data is also stored in our database to support your history and follow-up queries.

3. How We Use Your Information

  • To provide and operate the CRM platform
  • To authenticate your account and manage access controls
  • To support lead management, carrier matching, and sales workflow
  • To generate AI-assisted recommendations and coaching responses
  • To monitor for security incidents and unauthorized access
  • To communicate with you about your account and platform updates

4. Data Sharing

We do not sell agent or client data. We share data only with the third-party service providers necessary to operate the platform:

  • Supabase — database and authentication (United States)
  • Anthropic — AI processing of carrier match and coaching queries
  • Resend — transactional email delivery
  • Vercel — hosting and serverless infrastructure

Anthropic does not use API data to train its models by default. See Anthropic's Privacy Policy.

5. Data Retention

Agent account data is retained for the duration of your employment or authorized access relationship with Colorado Home Protection. Lead and client data is retained in accordance with applicable insurance regulations and company record-keeping policies. Upon account termination, data access is revoked immediately; deletion timelines follow company policy and applicable law.

6. Security

We implement reasonable security measures including encrypted connections (HTTPS), hashed passwords, row-level security on our database, and role-based access controls. You are responsible for maintaining the confidentiality of your credentials and reporting any suspected compromise immediately.

7. Colorado Privacy Act (CPA)

Colorado residents who are agents using this platform have rights under the CPA, including the right to access and request correction of personal data we hold about them. To exercise these rights, contact Charlesheathpro@gmail.com. We will respond within 45 days.

8. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated by email or in-platform notice. Continued use of the CRM after changes constitutes acceptance.
